DMS Sync for document controllers

On most projects, the platform-sync part of document control eats 70% of the role — copying drawings between systems, renaming files, confirming everyone is on the latest revision. DMS Sync Manager absorbs that mechanical work so you spend your time on quality, compliance, and stakeholder coordination instead of file movement. One document controller can run several projects, not one.

What changes for you

One DC, many projects

When the platform-sync work disappears, the same role scales from one project to four or five. You become the project multiplier, not the cost overhead.

Replace the manual half of document control

Automated, rule-based sync runs the copy-rename-upload loop across Autodesk Construction Cloud, SharePoint, Dalux, Trimble and more. Your time goes to QA, naming-convention enforcement, and stakeholder work — the parts that need human judgment.

Audit trail on demand

Every file move is logged with timestamp, source, destination and status. Filter by drawing number, revision or date — answer audit questions in minutes, not days.

No more wrong-version incidents

When source and destination are linked by rules, you stop chasing missed updates and dealing with the rework when someone builds from yesterday's file.

Pain points we remove

  • Spending most of the week on platform-sync work instead of QA, training, or stakeholder coordination
  • Being seen as cost overhead because the visible part of the job is shuffling files
  • Chasing project teams to confirm they've seen the latest revision
  • Reconstructing what was issued, to whom, and when — for audits or claims
  • Keeping SharePoint, ACC, and Dalux metadata in lockstep without scripts

"The best document controller is the one you never see — because the system does the work."

Frequently asked questions

Are you saying my role disappears?

No — the opposite. What disappears is the mechanical platform-sync work that's currently 70% of the day. What stays is the higher-value work: QA, naming-convention enforcement, stakeholder coordination, training, and ISO 19650 governance. Most customers find their existing DC ends up running three to five projects instead of one.

What if my project doesn't really need a full-time DC anyway?

On smaller projects (2–3 platforms, fewer than 5,000 documents per month) the platform-sync work often was the whole DC role. In that case DMS Sync absorbs it and a project engineer or junior coordinator can handle what's left part-time.

Do I lose control over which files move?

No. Sync rules let you scope by file type, folder, metadata, or label. Anything outside the rule stays where it is. You configure the rules; the platform executes them.

Can I see what happened on a given day?

Yes. Activity logs are searchable by date, project, source, destination, and file. Export to CSV for handover documentation or claims defence.

Does this work alongside Power Automate flows we already have?

Yes. DMS Sync runs on its own schedule; existing flows are not affected. Most customers retire their Power Automate flows for document sync within a month.

What happens if a sync conflicts with someone editing a file?

Locked files are skipped and retried on the next run, logged as "skipped: in use." The audit log makes the cause transparent.
